Privacy Policy
Effective October 31, 2026
This policy explains what information Wolfgrid LLC ("Wolfgrid," "we") collects through Wolfgrid and Wolfgrid Fleet, how we use it, and the choices you have. It covers our websites (wolfgridhq.com and wolfgridfleet.com), the Command Center, the crew and driver app, client portals, booking pages, and the emails and texts we send.
Two kinds of information
- Our customers' own account information. This is information about the businesses that use Wolfgrid and their staff. We control it, and this policy covers it.
- Information our customers keep in Wolfgrid about their own customers, crews and drivers. Examples are clients' names and addresses, schedules, photos, invoices, driver files and inspection reports. Each business controls that information, and Wolfgrid processes it for them as a service provider. If you're a customer of a business that uses Wolfgrid, that business's privacy policy applies, and you can contact them about your information.
What we collect
- Account details: name, email, phone number, business name and address, and what the business does.
- What you put in the Service: clients, locations, schedules, quotes, invoices, messages, photos, documents, inspection reports and similar records.
- Crew and driver app: your name and phone number, your clock-in and clock-out times, and the location at the moment you clock in or out, if your phone allows it. We don't track location at any other time.
- Payments: Stripe collects card and bank details directly. Wolfgrid never sees or stores full card numbers.
- Website forms: what you send us, such as a pilot request.
- Technical information: device and browser type, pages used and error reports, so we can keep the Service working and secure.
How we use it
- To run the Service: sign-in, scheduling, sending invoices and messages, processing payments and customer support.
- To keep the Service safe: preventing fraud and abuse, and checking that businesses aren't on the list in our Terms.
- To improve the Service and fix problems.
- To send you account emails, like receipts, security notices and important changes. We'll only send marketing emails if you can unsubscribe from them.
Text messages (SMS)
Wolfgrid sends texts on behalf of the businesses that use it, for example appointment reminders, booking confirmations, "on the way" alerts and crew messages. Reply STOP to stop texts or HELP for help. Message frequency varies, and message and data rates may apply.
Mobile information, including phone numbers and text-message opt-in data and consent, will not be shared or sold to third parties, affiliates or lead generators for marketing or promotional purposes. Phone numbers are shared only with the companies that deliver the messages, and only so they can deliver them.
Who helps us run the Service
We share information only with companies that provide services to us, and only so they can provide them:
- Google Cloud and Firebase: hosting, database, file storage and sign-in
- Stripe: billing and payments
- Resend: sending email
- Twilio: sending text messages, when texting is turned on
- Cloudflare: domains, security and customer websites
- Netlify: our marketing websites and their forms
We may also share information when the law requires it, to protect people's safety or rights, or as part of a merger or sale of the business, in which case this policy would continue to apply. We don't sell personal information, and we don't share it for targeted advertising.
How long we keep it
We keep account information while the account is open. After an account closes, we keep its data for 30 days so it can be exported, then delete it. The exception is anything we must keep longer by law, like billing and tax records.
Security
Every business's data is kept separate, access is limited by role, information is encrypted in transit, and our providers encrypt stored data. No system is perfectly secure. If we learn of a breach that affects you, we'll tell you as the law requires.
Your choices and rights
- You can see and update most account information in the app. Owners can export their company's data.
- You can ask us to access, correct or delete your personal information by emailing support@wolfgridhq.com. Depending on where you live, including Colorado and California, you may have more rights under state law. We won't treat you differently for using them.
- For information a business keeps about you in Wolfgrid, contact that business first. We'll help them respond.
Children
Wolfgrid is for businesses and isn't meant for children under 13. We don't knowingly collect information from them.
Changes
If we change this policy in a way that matters, we'll tell you by email or in the app before the change takes effect.
